AI & Data Use

Useful assistance.
Informed decisions.

A plain-language guide to how AI may help in O-IBS, what it may process and what you should review.

The short version

AI may help understand a Bizzy request or read a requisition. The request or uploaded document content may be sent to an AI provider. Check the results: AI can make mistakes, and actions that create or change financial or stock records require review and explicit confirmation.

Bizzy helps. You stay in control.

Bizzy can answer business questions, find information, explain records, prepare work and suggest actions within the features enabled for your company. Missing financial information needs clarification rather than a guess.

Bizzy cannot autonomously initiate bank payments, transfer money or silently complete important accounting changes. Prepared changes follow the existing review and confirmation workflow.

When AI may be used

Where configured and enabled, Bizzy uses AI to interpret what you are asking it to find or prepare. Assisted requisition reading can use AI to extract descriptions, quantities and other document details for review. Availability depends on your workspace and configuration.

What may be sent, and why

For a Bizzy request, the information sent can include your wording and any names, amounts or other details you include, together with instructions about the features available to your company. This helps interpret your request; it is not a blanket upload of your company database.

For assisted requisition reading, text, images or PDF pages from the uploaded document can be sent to extract information. These may contain personal or confidential details from that document. Only upload information you are authorised to use, and avoid including unrelated sensitive details.

AI providers and storage

The current application implementation supports OpenAI for these AI tasks when configured. Requests ask the provider not to store the response. This setting alone does not establish the provider’s full retention, training or international-transfer arrangements. Provider contracts, operating settings and the final privacy notice still need review before broad commercial launch.

Check answers and prepared work

AI can misunderstand instructions or read a document incorrectly. Check customers, products, quantities, prices, VAT treatment and source documents. Missing quote details should be clarified rather than guessed. A prepared reminder is a draft to review and share manually; it is not automatically sent.

You approve important changes

AI helps interpret or extract information. The application applies access and business rules, and actions that create or change financial or stock records are presented for review and explicit confirmation. Recording a payment does not transfer money through a bank.

This public website

The Bizzy examples and Demo Company dashboard are synthetic demonstrations. They do not connect to your company, the application database or an AI provider. When online forms are disabled, their entries stay on the page. When enabled, the separate marketing form service sends enquiries/applications by email; it does not contact AI services or access application records.

Detailed information and questions

The Privacy Policy, POPIA information and Terms describe topics still requiring professional South African legal and privacy review. Support and general questions can be emailed to support@o-ibs.co.za. Formal privacy procedures and Information Officer governance still require approval. The PAIA status page identifies the manual and Information Officer details still needed. See Help / Support for the current access guidance.
